Catholic Insurance Service handles cases for dioceses, religious orders, charities, and other Catholic organisations, each with its own context and risk profile. Policyflow keeps that context with the record so the team can move through renewals without rebuilding the file.

Challenge

Catholic Insurance Service places scheme cover for dioceses, religious orders, charities, and schools: clients with many properties, varied liabilities, and long institutional relationships.

Scheme renewals are priced and run in bulk, but between renewals the team still services every site: mid-term changes, claims, queries, and correspondence. With a small team, all of that detail needs to be where anyone can find it. Policy detail, MTAs, and history were tracked across spreadsheets and inboxes. When a colleague was away, picking up a case meant chasing context.

Solution

Policyflow gives the team one client record that holds every property, policy, document, and interaction in one place, with related records linking a diocese to its parishes and sites. Bulk scheme data uploads onto the same records, so each annual cycle leaves a complete, current book on the platform.

Quick search means anyone can find a client, quote, or policy in seconds, and email filing puts correspondence straight onto the record so a small team is never dependent on who happens to be in.

Implementation

The off-the-shelf product was a close fit for a small, busy team, so setup was quick and there was little process to relearn. Data migration brought existing client and policy records across, so work continued from live data.

The bulk scheme data flow was configured to land cleanly on the master record each year, ready for mid-term servicing. Permissions gave everyone appropriate shared access from the start, and the data browser took over visibility for day-to-day operational questions.

Feature highlights

Client & related records

A diocese, its parishes, and its sites sit in one connected record, so a complex client is easy to navigate.

Quick search

Anyone can find a client, quote, or policy in seconds, so a small team never waits on a colleague.

Email filing

Correspondence files straight onto the record, so the case history does not depend on whose inbox it is in.

Renewal visibility (data browser)

The team can review the upcoming scheme book before each renewal cycle, so changes and exceptions are flagged before the bulk run.

Permissions

Shared, appropriate access means cover continues smoothly whoever is in the office.

Compliance checks

Sanctions and PEP screening run from the client details already on the record, so a small team meets its checks without extra admin.

Client portal

Dioceses and orders can view policy information and download documents through a secure, branded portal, easing routine enquiries.

Results

With one trail per client, the team works from a clearer record. Less time goes on reconstructing files, and the next step stays visible from enquiry to renewal.

“We're a small team looking after long-standing clients, so the detail has to be where anyone can find it. Policyflow gives us one trail per client, from first enquiry through renewal.”

— Managing Director, Catholic Insurance Service

Cleaner handoffs

Properties, policies, and correspondence stay attached to the client record, so any colleague can pick up a case without chasing context.

Less re-keying

Client and policy detail is captured once and reused, so each annual scheme upload lands on existing records rather than starting from scratch.

Clearer renewals

Each scheme renewal lands on the live record, so the master picture stays current and reconciliations stay simple.
